Welcome to the Administrative assistant round 2 interview

Please complete the following 3 objectives to the best of your abilities within the next 90 minutes. Pay attention to time. You should have something to share for each objective. Be sure to read all directions thoroughly. Details matter.

You MUST send us your Submission Email BEFORE your scheduled interview start time. Please do not be late to your interview. And be prepared to share your Zoom screen at the beginning of the interview to walk us through your completed materials.

Objective 1) Create an Airtable base

Recommended time limit: 1 hour (you should move on to Objective 2 if you don’t finish within this time)

Airtable is a platform we use daily to maintain records and data within The Vegan Gym.

Your first objective is to create a questionnaire form for new clients. Collect the client’s name, email, phone number, their coach’s name, birthday, and any other information that you think would be necessary for us to know about new clients.

Ask yourself: What client information do coaches need to know to create an exercise program and nutrition program?

Then ask yourself: How would a team of coaches need to see this information organized?

You probably do not have experience with Airtable. That’s okay. You don’t need Airtable experience to complete this objective. It is a very user-friendly platform. You can create a free account and should utilize any tools or resources available to you. There are tons of great Airtable help articles online.

Here are your sub-objectives:

  • Create the new client questionnaire Airtable form and then fill it out and submit it as though you are a new client. Please add more clients if you have time. Be sure to add a coach-select field that lists all coaches on our team. And please be sure to make all fields “required” for all submissions.

  • Create the following views:

    • Create a view with all client information grouped by coach.

    • Create a Calendar view for client birthdays.

    • Create a view where you can see all client contact information filtered alphabetically by last name (A-Z) for our Operations Team. The information included in this view should be the client’s name, email, phone number, their coach’s name, birthday, and mailing address.

Objective 2) Share your Thoughts on expectations

Recommended time limit: 20 minutes

Please take time to read through our list of The Vegan Gym Team Expectations. Once you have read through the document, you will then write a 500-word response explaining how you feel about these expectations.

Write your response in a Google doc. Please use Montserrat font. Size 13 for normal font and size 26 for the title.

Objective 3) Respond to an upset client

Recommended time limit: 10 minutes

You will be receiving an email from a frustrated client in about half an hour.

She’s super angry and wants to leave the program. We need to respond to her ASAP.

Please respond (Reply All) to the email prior to hopping onto the Zoom call.

Objective 1: Share a link to your Airtable base with me (kira@thevegangym.com) and Carly (carly@thevegangym.com) that grants us both “Creator” access.

Objective 2: Link to your Team Expectations Response (Google Doc). Be sure to check the share permissions and be sure we can open it.

Objective 3: Please respond directly (Reply-All) to the frustrated client's email and confirm you have done so here.
